Help with the everyday CRM jobs

We can help with the setup, data and day-to-day questions your team needs sorted.

/01

Backups and account access

  • Backups and exports

Help set up available backups and save agreed exports in storage you control.

  • Access checks

Review user access and flag old accounts or permissions that need attention.

  • Tested changes

Test sample records and keep notes on what changed and how to reverse it where possible.

/02

Data and reports

  • Duplicates and missing fields

Find records to review and agree a small cleanup before merging or changing data.

  • Imports and field mapping

Check a sample first, match the right fields and avoid overwriting good information.

  • Report checks

Check filters, dates and pipeline stages so the numbers answer the right question.

/03

Views, templates and reminders

  • Views and layouts

Put the right fields, saved filters and task queues in front of each user.

  • Templates and reminders

Tidy reply templates, follow-up tasks and simple notifications.

  • Short notes for the team

Leave clear instructions, naming conventions and a record of the changes.

These are examples of work we can do. Each month, we agree which jobs to prioritise within your hours. We also confirm backup options, storage and any paid tools before setting them up.

What the plans cover

Help with existing problems

Workflow problems, confusing reports, incomplete records and the small tasks that keep getting pushed aside. Agree the priority and get the change tested.

A monthly review of possible improvements

Improve and Partner include a monthly look at repeated admin and awkward handovers. Jack agrees the next priority, builds small changes within your time and quotes larger opportunities separately. A written monthly update shows the work completed and time used.

A monthly allowance sets a clear limit on work. It does not promise that every request or a large automation can be completed in that month.

Using your current software

Check what HubSpot, Zoho and your current software can already do. Any additional connector, licence or usage cost is explained before it is introduced.

How we approach automation

One-off jobs

An initial investigation, cleanup or larger build can be quoted separately before monthly support begins. The first enquiry checks the fit; any paid technical investigation needs your agreement. You can start with one job without subscribing.

The practical details

Questions about the plans

Monthly terms and a clear allowance, with no surprise extra work.

What does help with backups include?

We check the backup or export options available in your CRM plan, agree what data needs copying and where it will be stored, and help set up the chosen process. Exports are not a complete copy of every CRM feature: activities, attachments, associations or email history may need a different approach. Backup tools, storage fees and any recovery project are agreed separately. Checks and setup use your monthly hours.

Is every listed check done every month?

No. These are types of work we can prioritise within your plan. We agree the tasks that matter most, estimate the time and update you as work progresses. A full account audit, large cleanup or recovery needs its own scope.

Can Zapier reduce our HubSpot costs?

Sometimes. For a specific task, a supported Zapier integration may be cheaper than upgrading HubSpot. We compare your seat needs, required features, Zapier task usage and ongoing maintenance. Some actions still require a paid HubSpot plan. We recommend the option that fits the work and total cost, without promising savings before checking.

What counts towards the time allowance?

Investigation, reviews, calls, configuration, building, testing, documentation and time spent answering questions share the allowance. The monthly review is part of the work, not an extra set of free hours.

What happens to unused time?

Time is reserved for your business each billing month and does not normally roll over. On Improve and Partner, an agreed improvement list gives us work to do when there are no urgent fixes. If we cannot provide reserved capacity, a revised schedule or credit is agreed.

Can you build larger automations?

Yes, subject to the tools and scope. We actively identify larger opportunities as well as small changes. Discovery and small builds can use the allowance; a substantial integration or new process gets its own scope and price before work begins.

What if we need more time?

Agree the priorities, schedule the task in a later month or approve additional work at £110/hour or a fixed project price. No extra time is billed automatically.

Can I cancel?

The proposed service is monthly, with no annual commitment. Cancel before the next renewal; the agreed paid period remains available. A clear written cancellation is acted on and confirmed. Your exact start date and billing terms are agreed before payment.

Do the reply times guarantee a fix?

No. They are targets for the first human reply within the stated working hours. Fix dates depend on the task, available time, access and any third-party dependency. This is scheduled business support, not emergency cover.

Is the first month's cleanup included?

Small onboarding and agreed initial fixes use the allowance. A larger rescue, migration or setup is scoped separately before the monthly service begins. You can also request a one-off investigation without subscribing.

Are software and VAT included?

Software subscriptions, paid connectors, vendor seats and usage fees are separate. Tax treatment and the total payable are confirmed in the written agreement before you start.
