Why two HubSpot reports can show different totals

Compare what the reports count before assuming one is wrong.

Define the business question

Do you need a count of deals, contacts, activities or revenue? Write down the question both reports are meant to answer. Similar titles do not establish that the underlying definitions match.

Compare filters and dates

Check the date property, range, pipeline, stages and owners. A deal created this month is different from a deal closed this month. Check dashboard-level filters as well as the individual report.

Inspect the records and data sources

Compare a small set of records behind the totals. A report using several related data sources needs different interpretation from a report counting one object. Also allow for update timing: HubSpot says custom reports may take longer to update than single-object reports.

Agree the definition before changing it

Record the intended filters and counting unit so the team can use the number consistently. Reporting options and limits depend on the subscription. Ask for help when association or attribution choices are affecting a business decision.
